SAM Registration Requirements

Introduction: SAM or System for Award Management is a kind of system required by the federal government in order to collect information on organizations, by applying for grants and contracts. Until 30th July, 2012, the CCR or Central Contractor Registration remained the primary supplier database for the U.S. Federal government. The primary responsibility of CCR was to collect data from suppliers, validated and stored this data. After that circulated those data to various government acquisition agencies. Then on 30th July, 2012, the CCR transformed in to the SAM registration e-procurement system. As you are planning to registering with SAM, before check status of your organization by using SAM Status Tracker on SAM.gov. To identify whether your organization has been registered beforehand with SAM or not, you can contact your grant administrator, financial department, chief financial officer, or authorizing official. If you find your organization is already registered then take note of take note of who is listed as your E-Business Point of Contact (EBiz POC).

Now let’s see what are the requirements for SAM registration: -

While registering with SAM, go to the SAM website and have the following pieces of information ready:

U.S. organizations

  1. DUNS number – parts of Dun & Bradstreet’s Data Universal Numbering System, are nine-digit identification numbers which have been associated with each physical location of your business.

  2. Original signed notarized letter stating the registrant is the authorized Entity Administrator

  3. Employment Identification Number (EIN) or Taxpayer Identification Number (TIN) – TIN can be your EIN, or SSN (Social Security Number), based on your business structure.

  4. CAGE code, if you have one – in case you don’t have one, it will be automatically assigned once you are done with your SAM registration.

Non-U.S. organizations –

  1. DUNS number

  2. Original signed notarized letter stating the registrant is the authorized Entity Administrator

  3. NCAGE code

It takes at least twelve business days to complete the registration procedure with SAM or System for Award Management. Conclusion: The EBiz POC must renew your organizations SAM registration annually. It takes 3-5 business days to renew for further activation and replace current registration. Additional time may require if there is any structural change in organization from the date of first renewal.
